Two partners and the studio bank account

Maryam Kazemi and Omid Rahimi are the partners behind Naghsh Studio, and both are Adminsمدیر in Hamkar. Money from clients goes into the studio’s bank account, and large purchases and contractor payments come out of it. Before Hamkar, this was tracked in a notebook and scattered messages, and at month end it wasn’t clear who had moved which money when.

  1. They created a shared account in Hamkar called «حساب بانکی استودیو» (studio bank account).
  2. Every payment into the bank account is recorded as a deposit, with the name of the partner who brought it in and a note.
  3. Every large purchase is recorded as an expense from this account, with the pro forma invoice or receipt attached.
  4. Every cash payment to a contractor or worker is recorded as a withdrawal, with the name of the person who handed it over.
Transaction Recorded by Amount (toman) Note
Deposit: Saadat Abad client advance Maryam 120,000,000 First installment of the renovation contract, paid into the studio account
Deposit: Iranshahr café design advance Maryam 45,000,000 50% of the design fee

Maryam records each deposit with Deposit moneyواریز پول on the account card. At that moment Omid sees «استودیو نقش · واریز جدید» (Naghsh Studio · New deposit) on his phone, with the description and amount.

The tile purchase. Omid bought tiles and ceramics for the bathrooms for 98,120,000 toman. He recorded it with Record expenseثبت هزینه on the bank account card, wrote the pro forma number in the note, and attached two files: the shop’s pro forma invoice as a PDF and a photo of the tile sample. Because it was paid from the shared account, it has no personal shares and doesn’t change either partner’s balance; it only lowers the account balance.

The electrician’s installment. Omid paid the electrical contractor 18,000,000 toman in cash and recorded it as a withdrawal, noting that it was a cash payment to Mr. Safari.

The painter’s wage. Bahram, the site supervisor, handed the painter his wage. Maryam recorded it as a 9,000,000 toman withdrawal and chose Bahram as “Receiver / covers shortfall” («دریافت‌کننده / تأمین‌کننده کسری»), so it’s clear whose hands the money passed through.

The account card sums it up: a balance of 39,880,000 toman, and the line «واریز: ۱۶۵٬۰۰۰٬۰۰۰ · برداشت: ۲۷٬۰۰۰٬۰۰۰ · هزینه: ۹۸٬۱۲۰٬۰۰۰» (deposits 165,000,000 · withdrawals 27,000,000 · spent 98,120,000).

At month end they do three things:

  1. They compare the card’s balance with the bank statement. Hamkar isn’t connected to the bank, so this check shows whether anything was missed.

  2. If an entry is wrong, they delete it from Detailsجزئیات and record the correct one, since deposits and withdrawals can’t be edited. If it had attachments, they add them again.

  3. From the Historyتاریخچه window they use CSV exportخروجی CSV to get the account file and send it to their accountant. The file covers the whole history; to look at one month, they filter the date column in Excel.

  • It doesn’t connect to the bank or import transactions automatically.
  • It doesn’t calculate each partner’s profit or share of income.
  • It has no monthly filter; history covers the whole period, and they filter in the CSV file.
  • One shared account for the studio’s bank account, separate from the workshop petty cash.
  • A deposit for every incoming payment, an account expense for every large purchase, and a withdrawal for every cash payment.
  • A note and an attachment on every entry.
  • Every movement of money has a name on it. The depositor or receiver is recorded on each transaction.
  • The other partner is never left out. Each deposit and withdrawal notifies the other partner right away.
  • The paperwork sits next to the money. The tile pro forma invoice is under that expense, not in someone’s phone gallery.
  • Month end is short. The card balance is checked against the bank, and one CSV file goes to the accountant.
