Naghsh Studio, three projects and one petty cash
Naghsh Studio is a small interior design and fit-out studio with three jobs on the go: an apartment renovation, a café design and an office fit-out. Four people do the work, and small and large purchases happen every day. This page shows how the team set Hamkar up and what a working day looks like.
The team
Section titled “The team”| Person | Role in Hamkar | Job at the studio |
|---|---|---|
| Maryam Kazemi | Admin, created the team | Runs the studio and client meetings |
| Omid Rahimi | Admin | Purchasing, orders and money |
| Sara Nowruzi | Member | Designer: drawings, color and lighting |
| Bahram Tehrani | Member | Site supervisor |
| Keyvan Moradi | Former member | Floor screed and tools; left partway through |
Maryam created the team and sent the invite code to the others. On the first day she changed Omid’s role to Adminمدیر, so admin work, like deleting a wrong entry, doesn’t depend on one person.
What they set up
Section titled “What they set up”One project per client job.
| Project | Tasks | Status |
|---|---|---|
| «بازسازی آپارتمان سعادتآباد» (Saadat Abad apartment renovation) | 8 tasks, 2 done | Active |
| «طراحی کافه ایرانشهر» (Iranshahr café design) | 5 tasks, 1 done | Active |
| «دفتر کار یوسفآباد» (Yousef Abad office) | 4 tasks | Active |
| «غرفه نمایشگاه کتاب» (book fair booth) | 2 tasks, both done | Archived after the fair |
Two shared accounts. The studio bank account («حساب بانکی استودیو») for client advances and large purchases and payments, and the workshop petty cash («تنخواه کارگاه») for small on-site costs like the workers’ lunch or daily wages. The bank account has its own story in Two partners and the studio bank account.
A simple rule for spending. Whoever spends their own money for the team records the expense and splits it only between the people it concerns. The annual rendering software subscription (6,900,000 toman), for example, was split between Maryam, Omid and Sara only, and the facade scaffolding rental between Omid, Bahram and Keyvan only.
Everyone picks their own notifications. In Notification settingsتنظیمات اعلان, Maryam turned off two kinds: task edits and status changes, and new attachments. She kept the rest on, especially comments and tasks assigned to her.
A day at the studio
Section titled “A day at the studio”Morning, the Overview. Maryam opens Hamkar. Under My tasksکارهای من she has three: approving the kitchen countertop stone sample (high priority, due tomorrow), the desk layout and cable route (in progress), and the entrance facade render (in review since yesterday). Her balance is red: she owes 7,360,000 toman. Her biggest single share is half of the faucet deposit Omid paid: 7,500,000 toman.
9:40, the faucets. Under the task «سفارش شیرآلات» (order the faucets), Omid writes that the seller will deliver the faucets tomorrow morning. Maryam’s phone shows «استودیو نقش · نظر جدید» (Naghsh Studio · New comment). Nobody has to pass it on in a separate chat; Bahram, who wrote a few days ago that the in-wall plumbing would be done by Thursday, sees the same news.
10:00, the board. Maryam opens Tasksکارها و تسکها filtered to the apartment renovation. Choosing the living room paint color is in the In reviewدر انتظار بررسی column. The discussion under it tells the whole story: Sara painted three samples on the wall, Maryam suggested the warm cream, the client picked it too, and Sara sent the color code to the painter. Maryam only needs to check it once and move the task to Doneانجامشده.
11:20, the lighting plan. Under the lighting plan task, Sara writes that she has sent the final version and asks for any notes by noon. If Maryam has a note, she can answer with Replyپاسخ right from the notification, and her answer is posted under that task.
The petty cash. The petty cash card is red: minus 1,100,000 toman. A few days ago Bahram bought cement and tile adhesive for 7,200,000 toman while the petty cash only had 6,100,000, and paid the rest out of his own pocket. Hamkar hasn’t lost track of it: the card says the account owes Bahram Tehrani 1,100,000 toman. The next top-up of the petty cash pays Bahram back first.
Yesterday, the painter’s wage. Bahram paid the painter, and Maryam recorded it as a 9,000,000 toman withdrawal from the studio bank account with Bahram as the receiver. Bahram also created a new task to buy curtains and blinds for the Yousef Abad office, which nobody has been assigned to yet.
When something goes wrong
Section titled “When something goes wrong”- A duplicate expense. Bahram recorded the van rental twice. Omid, an admin, deleted the duplicate and the balances corrected themselves.
- A member leaving. Keyvan had paid for a cordless drill, a laser level and scaffolding rental, and then left the team. His floor screed task became unassigned, but what he’s owed wasn’t lost. Maryam paid him 6,000,000 toman and recorded it, and the remaining 4,080,000 toman shows in Suggested settlementsپیشنهاد تسویه under «کیوان مرادی (عضو سابق)».
What they set up
Section titled “What they set up”- One team with four members and two admins.
- One project per client job, archived after handover.
- Two shared accounts: the bank account for large sums, the petty cash for site costs.
- Pro forma invoices and receipts attached to the expenses themselves, not posted in a chat group.
- Notification settings chosen by each person.
What changed for them
Section titled “What changed for them”- News of purchases and payments doesn’t get passed around by hand. An expense notification carries who recorded it and the amount, and everyone sees it right away.
- Decisions stay with the task. Anyone who later looks into the paint color or the lighting plan finds the whole discussion under that task.
- A petty cash shortfall doesn’t disappear. When someone pays out of pocket, the account card shows their name and the amount.
- Someone leaving doesn’t break the books. Keyvan’s share wasn’t wiped when he left.
- Overdue work is visible. A passed due date is red on the board, like the chairs and tables quote.
