The North trip, splitting travel costs

The North trip team («سفر شمال») is a sample team. The names and amounts are made up, but every number on this page is exactly what Hamkar calculates with this data.

Negar Ahmadi, Arash Salehi and Maryam Kazemi spent two nights up north by the Caspian. Each of them paid for part of it: one the villa, one the fuel and dinner, one the fruit and snacks. Instead of adding it all up on paper afterwards, each of them recorded what they paid in Hamkar as they went.

Setting up the team

1. Negar created a team called «شمال» (North) with toman as the currency, and renamed it «سفر شمال» (North trip) in Members & settingsاعضا و تنظیمات once the destination was settled.

2. She sent the invite code to Arash and Maryam, and both joined with Join teamپیوستن به تیم.

3. She changed Arash’s role to Adminمدیر, so that if she wasn’t around, Arash could delete wrong entries too.

Maryam is also in Naghsh Studio. For her, the North trip is just another team in the Your workspaceفضای کاری شما list, and the trip’s money never mixes with work money.

That’s 28,275,000 toman in total. Whoever paid recorded each expense with New expenseهزینه جدید and an Equalمساوی split, and the others heard about it through the New expenseهزینه جدید notification.

Arash didn’t ride the cable car. When Negar recorded the tickets, she unticked Arash under Split between membersتقسیم هزینه بین اعضا so the cost was split between her and Maryam only.

An early payment

Before the final tally, Maryam transferred 5,000,000 toman to Negar for her share of the villa. Then, with Record settlementثبت تسویه, she chose herself as the Payerپرداخت‌کننده and Negar as the Recipientدریافت‌کننده, with a note saying it was a card transfer for the villa.

1. Arash and Maryam each transfer the suggested amount to Negar.

2. Each taps Record paymentثبت پرداخت on their own row in Suggested settlementsپیشنهاد تسویه. The names and amount are already filled in.

3. Once both payments are recorded, the suggestions are replaced by All accounts are balancedهمه حساب‌ها متعادل است.

Two teams on one phone

Maryam has the Hamkar Android app. On her phone, notifications from the North trip and from Naghsh Studio are grouped separately under each team’s name, so news of the fish dinner doesn’t get lost next to news about the faucet order.

What they set up

• A small team just for the trip, with two admins.
• Every cost recorded on the spot, by the person who paid.
• Equal splits, with anyone who wasn’t part of a cost unticked.
• Every real payment between friends recorded as a settlement.

What changed for them

• No bookkeeping after the trip. Nobody had to gather receipts and notes; the balances were current from day one.
• Each share is exact. The person who skipped the cable car doesn’t pay for it.
• Fewer payments. Instead of everyone paying everyone, two payments settle all three.
• The early payment wasn’t forgotten. The 5,000,000 toman Maryam paid ahead of time is already counted in the balances.
